The Accounts Payable Supervisor provides direction and support to a team of 5-7 A/P Associates. This individual reports to the A/P Manager.
Duties and Responsibilities:
Supervise daily associate activities to ensure timely and accurate processing of the following:
-Process invoices for material vendors as well as general payables vendors.
-Review vendor statements and related reconciliation.
-Run jobs for check creation.
-Handle returned checks, stop payments, and credit requests.
Ensure associates are productive and resolve processing issues as they develop.
Analyze, monitor and resolve difficult issues presented by Team Lead and vendors.
Process positive pay (exception report and positive pay import/export file).
Review reports prepared by Team Lead for creation of wire transfers.
Interview, hire, train, develop, coach and counsel staff as necessary.
Address day-to-day associate issues, mediate conflict situations, motivate and reward staff to support and sustain a highly productive and efficient work environment.
Prepare monthly reports, discount analysis, and “on account” payments (A/P scorecard) for management reporting.
Assign backup duties for any staff member that is absent.
Monitor functional procedures and suggest processing improvements.
Ensure and reinforce understanding of all policies, procedures and information with staff members.
Perform other functions as necessary or as assigned
Serve as back-up to the AP Manager.
Knowledge and Skills Required:
High School diploma required. Associate’s or Bachelor’s degree in Accounting strongly preferred.
5-7 years A/P experience and 2-3 years supervisory experience required.
Proficient in knowledge of MS Excel.
Knowledge of accounting software helpful.
Experience in a fast-pace operational environment required.
Outstanding organizational, problem solving and multi-tasking skills.
Ability to effectively communicate with various levels of management and demonstrate a professional demeanor at all times.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Very detail oriented.
